Office, facilities and workshop procurement: a sourcing checklist

Operational procurement covers a wide range of categories — from office stationery and furniture through to workshop consumables, PPE, cleaning products and packaging materials. Each category has its own sourcing considerations, compliance requirements and supplier landscape. This checklist is designed to help Australian SMEs approach each category systematically, whether they are sourcing for the first time, reviewing an existing supplier arrangement or preparing an RFQ.

Office supplies and furniture

Office supplies are typically high-frequency, low-unit-value purchases — which makes them a good candidate for a preferred supplier arrangement rather than repeated spot purchasing. When sourcing office furniture, consider ergonomic requirements, warranty terms and the supplier's ability to deliver and install. For consumables, confirm the supplier can maintain consistent stock of your regular items and has a reliable reorder process. The priority in this category is usually availability and lead time, since MRO items are often needed quickly when equipment fails. A preferred supplier arrangement with a distributor who stocks a broad range is often more practical than sourcing each item from a specialist. Key questions: Does the supplier stock the brands and specifications your equipment requires? What is their same-day or next-day availability for urgent orders? Can they provide a consolidated account with monthly invoicing?

Packaging and shipping materials

Packaging requirements vary significantly by product type, fragility, weight and destination. When sourcing packaging, start with your actual requirements — box dimensions, weight ratings, void fill requirements, labelling needs — rather than browsing a catalogue. For businesses with consistent packaging needs, a preferred supplier arrangement with agreed pricing for your standard SKUs reduces both cost and administrative overhead. Key questions: Can the supplier provide samples before you commit to a bulk order? What are the minimum order quantities for custom-printed packaging? What is the lead time for restocking your standard items?
