What makes a good RFQ?

The more detail you provide, the more accurate and useful the supplier responses will be. Here is what to include.

Product or service description

Be as specific as you can — product name, model, specification or a clear description of what you need. Vague requests produce vague responses.

Quantity and unit of measure

Include the quantity you need and how it is measured — units, cartons, litres, metres. If you have a recurring need, mention the frequency.

Delivery location and timeline

Your state or postcode and when you need delivery by. If there is flexibility, say so — it can open up more supplier options.

Budget or price expectation (optional)

You do not have to share a budget, but if you have a target or ceiling it helps suppliers respond with realistic options rather than aspirational ones.

Each portfolio is compiled from supplier responses to your specific request. What is included depends on what suppliers provide, but we aim to present the following for each option.

Pricing Unit pricing, volume breaks and any applicable delivery costs where provided by the supplier.
Lead times Estimated delivery or availability timeframes based on your location and the supplier's current stock.
Terms and conditions Payment terms, minimum order quantities and any relevant conditions the supplier has specified.
Supplier profile A brief overview of the supplier — their category focus, location and relevant experience.
Contact details Direct contact information so you can follow up, ask questions or proceed with an order.
